- Research likely venues based on budget, desired location and dates
- Send RFP to those identified as best fitting client needs
- Handle queries from venues regarding RFP
- Receive and review proposals and follow up on venues with questions/clarifications
- Create matrix outlining venue options and recommendations
- Present options/recommendations to client
- Site Visit
- Obtain best schedule from client for site visit
- Set up travel and complimentary lodging
- Make arrangements with venue reps for site tour
- Handle ground transportation arrangements
- Conduct site visits with client
- Complete site visit evaluation form on each property
- Meet with client to identify their preferred option
- Site negotiations & contracting
- Request contract
- Identify areas of concern – price, concessions, etc.
- Negotiate final pricing, dates, space, concessions and contract stipulations
- Review changes and provide final contract to client for review
- Handle any additional negotiations
- Finalize contract
